Equipment Protection Plan — Terms & Coverage

1. Overview

The Camcorder Co LLC offers an optional Equipment Protection Plan ("Protection Plan") available for purchase at checkout. By adding the Protection Plan to your order, you agree to be bound by the terms set forth in this document, in addition to the Equipment Rental Agreement and Terms & Conditions available at www.thecamcorderco.com.


This Protection Plan is offered directly by The Camcorder Co LLC. It is not a third-party insurance policy and does not constitute a contract of insurance regulated by any state insurance authority. It is a fee-based equipment protection program offered as part of your rental service.


Accidents happen at celebrations — we get it. This plan is designed to give you peace of mind so you can focus on your event, not your equipment.


2. Protection Plan Options

Two Protection Plan tiers are available at checkout based on the number of camcorders in your order:


2.1 Single Camcorder Protection Plan — $49

Available for orders with one camcorder rental.

  • Coverage limit: Up to $1,500 in damage, loss, or theft

  • Deductible: $150 per claim

  • Covers: Accidental damage and loss or theft of one camcorder during the rental period


2.2 Dual Camcorder Protection Plan — $79

Available for orders with two camcorder rentals.

  • Coverage limit: Up to $2,500 in damage, loss, or theft

  • Deductible: $150 per camera per claim

  • Covers: Accidental damage and loss or theft of both camcorders during the rental period


The Protection Plan fee is non-refundable once your order is confirmed. Coverage applies to the specific rental order under which the plan was purchased and cannot be transferred to a different order or booking.


3. What Is Covered

When you purchase the Protection Plan, the following incidents occurring during your rental period are covered, subject to the deductible and coverage limits in Section 2:


3.1 Accidental Damage

Coverage applies to unintentional physical damage to the equipment caused by drops, impacts, or accidents during normal use at your event. If the equipment is accidentally damaged, we will repair or replace it. You are responsible for the $150 deductible per camera before coverage applies.


3.2 Loss or Theft

Coverage applies if the camcorder is lost or stolen during your rental period. In the event of loss or theft, you must:

  • Notify us immediately by email at hello@thecamcorderco.com

  • File a police report within 48 hours of discovering the loss or theft

  • Provide a copy of the police report to us upon request


Failure to file a police report or provide documentation upon request may result in denial of coverage for loss or theft claims. You are responsible for the $150 deductible per camera before coverage applies.


4. Deductible

A deductible of $150 per camera applies to each approved claim. The deductible is due at the time the claim is processed. Coverage activates for costs exceeding the deductible, up to the coverage limit for your plan tier.


Example — Single Camcorder Plan: If the camcorder is damaged and the repair cost is $400, you pay the $150 deductible and we cover the remaining $250. If the repair or replacement cost exceeds $1,500, you are responsible for any amount beyond the coverage limit.


Example — Dual Camcorder Plan: If both camcorders are damaged in separate incidents, a $150 deductible applies per camera. The combined coverage limit is $2,500 across both cameras.


5. What Is Not Covered

The Protection Plan does not cover the following:


5.1 Intentional Damage

Any damage, loss, or destruction caused intentionally or through willful misconduct by you or any person to whom you provided the equipment is not covered. Intentional damage voids the Protection Plan entirely and you will be liable for the full replacement value of the equipment, regardless of the plan purchased.


5.2 Damage from Prohibited Use

Damage or loss arising from use of the equipment in violation of the Equipment Rental Agreement or Terms & Conditions is not covered. This includes use of the equipment for illegal purposes, recording prohibited content, subletting or loaning the equipment to an unauthorized third party, or any use outside the scope of personal event recording as defined in your Rental Agreement.


5.3 Missing Accessories

Loss of individual accessories included in the rental kit — such as memory cards, batteries, chargers, cables, or original packaging — is not covered under the Protection Plan. Missing accessories will be charged at replacement cost.


5.4 Normal Wear and Tear

Cosmetic wear, minor scratches, or scuffs that do not affect the functionality of the equipment are not covered and are considered acceptable normal use.


5.5 Late Return Period

The Protection Plan is valid only for the duration of your rental period as defined in your order confirmation. Coverage does not extend to any period of late return beyond the rental expiration date.


5.6 Acts of God and Force Majeure

Loss or damage caused by events beyond reasonable human control — including but not limited to natural disasters, floods, fires, or earthquakes — are not covered under the Protection Plan.


5.7 Costs Exceeding Coverage Limit

Any repair or replacement costs that exceed the coverage limit for your plan tier ($1,500 for Single, $2,500 for Dual) are your responsibility. The Protection Plan covers costs up to the stated limit only.


6. How to File a Claim

To file a claim under the Protection Plan:

  • Contact us immediately upon discovering damage, loss, or theft at hello@thecamcorderco.com with the subject line: "Protection Plan Claim — [Your Order Number]"

  • Provide a written description of what happened, when, and where

  • Attach photographs or video documentation of the damage if applicable

  • For loss or theft: attach a copy of your police report

  • Do not attempt to repair, modify, or dispose of the equipment before contacting us — doing so may void your coverage


We will acknowledge your claim within 2 business days of receipt and communicate next steps. Claims submitted after the rental period has ended or that do not include required documentation may be denied.


7. Claims Outcome

Upon approval of a valid claim, and after collection of the applicable deductible, we will either:

  • Arrange for repair of the equipment at our cost (above the deductible), or

  • Ship a replacement camcorder of the same or equivalent model at our cost (above the deductible)


We will not issue cash refunds in lieu of repair or replacement. The decision to repair or replace rests solely with us based on the nature of the damage and equipment availability.


If your claim is denied, we will notify you in writing with the reason for denial. Denied claims revert to the standard damage and loss terms outlined in the Equipment Rental Agreement, and applicable fees will apply.


8. Relationship to Rental Agreement

This Protection Plan is a supplement to, and does not replace or modify, the Equipment Rental Agreement or Terms & Conditions. In the event of any conflict between this Protection Plan and the Equipment Rental Agreement, the terms of this Protection Plan govern solely with respect to covered incidents during the rental period.


Purchasing the Protection Plan does not limit or waive your obligations under the Rental Agreement for incidents or conditions not covered by this plan.


9. Non-Transferable

The Protection Plan applies only to the rental order under which it was purchased and to the specific equipment shipped as part of that order. It is non-transferable and cannot be applied to a different rental, a different customer, or a future booking.


10. Limitation of Liability

In all cases, The Camcorder Co LLC's maximum liability under this Protection Plan is limited to the coverage limit for the plan tier purchased ($1,500 for Single, $2,500 for Dual), less the applicable deductible. We are not liable for any indirect, incidental, consequential, or punitive damages arising from equipment damage, loss, or failure, including but not limited to missed recordings, lost footage, event disruption, or emotional distress.


11. Governing Law

This Protection Plan shall be governed by and construed in accordance with the laws of the State of New Hampshire, United States. Any disputes arising under this Protection Plan are subject to the arbitration and dispute resolution provisions of the Equipment Rental Agreement.
